You may be eager to put the files away and move on but you won’t want to miss the opportunity to evaluate your event success and discuss opportunities for improvement for future events. Committing to an evaluation process ensures you will capture important details your organization needs to improve fundraising. It can also jumpstart preparations for your next event.

Details to Remember at Your Event
Small details can make a big difference in the success of your silent auction. Here are a few to remember.
- Keep your venue at a cool temperature. A warm room will put your guests in a sleepy mood and so they won't be as active in bidding as needed.
- Have 'models' walk around showing off some of the live auction items during the silent auction. Make sure that your models know what item number it is and any special notes or features about the item.
- Keep the boxes/bags that the silent items came in under the tables (if skirted) so when it comes time to box everything up, you have all your materials close by.
- Un-cap your pens and test them out prior to the start of the silent auction bidding. Keep some extra pens on hand and make sure your volunteers know where they are so they can put them out if needed.
- Talk to a local winery to provide a wine tasting during the silent auction to cut down on your bar tab - as well as it's a great marketing tool for local wineries.

Event Story
Over eight hundred guests attended the Duke Children’s Hospital Teddy Bear Ball. Approximately 95% of the guests swiped their cards with Auctionpay at the beginning of the evening. Things went smoothly through the event, with only 5 people in the cashiering line at the end of the night.

Suggested tip: Teddy Bear Blitz
Teddy Bear Ball staff tried something new this year, and the results were fantastic! Carlyle & Co. Jewelers donated a strand of Mikimoto pearls worth $5,000. The necklace was displayed to guests at the beginning of the evening. Behind the scenes, volunteers had artfully wrapped 200 packages, each containing a stuffed teddy bear. One package held a special black bear, the recipient of which would win the pearl necklace. In the middle of the live auction, the auctioneer announced the Teddy Bear Blitz. Runners flooded the aisles with the beautiful packages and party-goers quickly claimed them at $100 each. They were gone in 2 minutes!.
The auctioneer then invited guests to unwrap their packages, revealing the lucky black bear holder – and winner of the $5,000
pearl necklace.
