A Whole New Approach to
Fundraising: Online Auctions

online auctionsImagine an auction with doors that are open 24 hours a day, multiple times throughout the year. Every guest you invite shows up, because scheduling conflicts are never a problem. People flood through the doors, each bringing new, eager friends who have been waiting for just this chance to take home the very items you are offering.

Because you've reached out to each guest personally, awareness of your cause swells and their affinity for your organization increases.

The bids pile up, donors appear from out of the woodwork, and sponsors are bowled over by the visibility for their products and services. Each guest leaves with something exciting and makes a commitment to return again. And it's been so easy every step of the way, from set up to wrap up, so exciting for everyone involved.

Now go ahead and rub your eyes. This isn't your imagination; it's the reality of online auctions. Bid by online bid, fundraising as you know it is being transformed.

The Bottom Line

Online Fundraising Generates Revenue

Statistics increasingly show that ePhilanthropy is a must for nonprofits to stay competitive for donor dollars. "Internet fundraising garnered $2.6 billion of the $248 billion collected from all charitable giving last year, up from $1.1 billion in 2002", said Ted Hart president and chief executive of a nonprofit organization, ePhilanthropyFoundation.org, in Washington, D.C.

The Facts:

  • Online donors increased more than 53% from January to November 2005
  • Online givers donate 50% more than donors who do not give online
  • 75% of all donors noted that going online made some impact in their decision to give
  • 25% said the impact was significant

Auctioneers See Benefit of Adding Online Auction Prior to Event

As long-time auctioneers and event consultants, the team at Benefit Auction Specialists see a huge value in adding an online auction to the fundraising mix. "Going online allows the organization to sell in-kind items throughout the year to bring in additional revenue - that saves them from having to try to fit the 400 items that the volunteers collected into a silent auction," said Fred Reger, founder and president of Benefit Auction Specialists, based in the DC-area.

"So often we manage an event where the volunteers have collected hundreds of items, and want to put them all out on the tables the night of the event, and they're disappointed when things don't sell, or don't sell for as much as they should. During our pre-event consultations, we always recommend that an organization have a ratio of one-third of the silent auction items to the number of attendees. By placing many of these items online before the event, not only does it start the fundraising, but begins to build awareness for the live event. Putting items online ahead of time allows the organization to focus on the better items the night of the event, and raise more money."

Plus, the awareness that the online auction brings is a huge value for building the donor base over time. Reger adds, "Online auctions are an excellent way to promote the nonprofit or school as well as the live event. They generate buzz, as well as reach people who can't make it to the in-person auction, in addition to managing the multitude of items."

Benefit Auction Specialists (BAS) has been an Auctionpay partner since 2004 and offers consultation, workshops, training seminars for volunteers, resources and reference materials, floor auctioneers for the night of the event, and of course the very best professional and proven bid calling skills of both Fred Reger and Ron Leftwich. They can easily customize their services to fit your needs. Focusing mostly in the DC area, BAS manages and consults for benefit auctions all over the east coast. Using Auctionpay Event Software to Track Online Auction Items

Utilizing your software to accommodate your online auctions is easy and a great way to track donations for online or live events. Here are a few quick tips:

  • Create a 'section' for packages to be sold online called "Online Auction". This will allow you to find specific online packages when searching for data, running reports, and exporting data.
  • After the online auction is complete, any of the packages that didn't sell online can be sold at your live event with the same package numbers.
  • Track online winning bidders by assigning them a separate series of bid numbers - this will make it easier to identify online bidders.
  • Once the online auction has closed, payments for online packages can be entered into Auctionpay Event Software. Complete receipts can be generated from the software for the winning bidder's financial records and for tax purposes.
