Sponsorship 101: Creating a Win/Win Situation for Your Sponsors and Your Organization
Looking for ways to make your auction a success without spending a dime? The key is finding the right sponsors. They can impact your auction tremendously by providing the resources and support you need to "wow" your constituents without the big price tag. In fact, it’s possible to walk away from an event without any cost to your organization.

So how are nonprofit organizations tapping these corporate and community resources to make the most of their fundraising budgets? Here’s what we’ve heard:

  1. Generate a contact list - Who do you know? Who do your committee members know? Who do your Board Members know?
  2. Don’t be afraid to ask - Have in mind a clear list of needs and wants for making your event a success. Read the complete article for ideas from other nonprofits.
  3. Communicate what the sponsor receives in return - They will want to know how they will be recognized. We’ll give you some great ideas.

The Art of Recognition: Tips for Successfully Acknowledging Your Sponsors and Volunteers
Stephen B. Hamann, a Charity Auctioneer based in Southern California, offers his advice on how and when to acknowledge all of those people who make your event a success. Typically, sponsors and volunteers are officially thanked at the start of the event program, just prior to the live auction. Steve suggests that you try to keep it short and sweet to keep the flow of the event moving. Steve adds, "Nothing will kill the energy leading up to a live auction faster then a case of the ‘blah blahs!’ Remember, the most successful live auctions begin early and end early. I like to suggest to my clients that they welcome their guests and thank their volunteers and sponsors prior to the entrée being served - during the pre-set salads. This is also a great way to get your guests to find their seats and to get their attention." Steve offers several excellent tips on how to quiet the crowd.

Steve's tips include: using a rolling PowerPoint presentation while your guests are eating dinner showing the names and logos of sponsors, in addition to the verbal recognition, and other signage you may have. You can also print their name/logo on the back of the bid paddles, so that every time someone raises their card to bid, sponsors are acknowledged. Thank this year’s sponsors on next year’s "save the date" card.

Hints for recognizing volunteers: Take the time at your last committee meeting to tell everyone to be ready for the recognition and when the time comes to immediately stand up proudly and loudly. Steve has seen it many times when volunteers are reluctant to stand. "When they’re prepared though it really makes a great impression on the crowd, does a great job of setting the tone for the remainder of the evening and your committee and volunteers get the thanks they deserve!"
